Scope and Purpose
This Privacy Policy explains how BelleMed ("BelleMed," "we," "us," or "our") collects, uses, and discloses information from people who visit our website at https://bellemed.co, request a consultation, or communicate with us about our services. Those online properties are called the "Sites" in this policy.
The policy also covers information collected offline when this policy is made available, including conversations with BelleMed representatives about a consultation or an existing engagement.
It does not control product offerings that publish a separate privacy notice, and it does not govern third-party websites linked from the Sites. Those organizations set their own privacy practices. Please read their notices before you share information with them.
When BelleMed performs services for a healthcare organization, we handle information under the agreement with that organization. Where the Health Insurance Portability and Accountability Act (HIPAA) requires it, that agreement may include a business associate agreement. The client organization may also keep its own privacy notice for patients and workforce members.
Services Provided by BelleMed
BelleMed is a healthcare solutions and practice support company serving healthcare organizations across the United States. The services described on the Sites are:
- Provider Credentialing & Payer Enrollment
- Medical Billing & Revenue Cycle Management
- Virtual Medical Assistant Services
- Medical Scribe Services
- Healthcare Web Development
A description of the company is available on the About BelleMed page.
Communications Policy
BelleMed communicates with prospective clients, contracted client organizations, and authorized staff in a professional and limited way. Work messages stay tied to the service being discussed or performed. BelleMed does not use client or staff communication channels for unrelated advertising.
Communication Channels
Depending on the stage of the relationship, BelleMed may use telephone calls, email, SMS text messages, and the Phone2 communication service. Phone2 is the name of that communication service. The sections below describe how each channel is used, who may receive messages, and how a recipient can limit SMS messages.
SMS Communication
BelleMed uses SMS for work-related messages, not for promotional campaigns. SMS may be used for:
- Communication with contracted healthcare clients about the services BelleMed is performing
- Internal communication among authorized BelleMed staff
- Billing and revenue cycle updates for a contracted client
- Follow-up on a client support request
An example of a professional client message is:
“Hello, this is BelleMed. A revenue cycle update for your organization is ready to review with your BelleMed specialist. Reply if you would like us to walk through it. — BelleMed”
An example of an internal staff message is:
“BelleMed team: the credentialing checklist for the afternoon client call is in the shared working folder. Please review it before the meeting. — BelleMed”
BelleMed does not send promotional or unsolicited marketing texts. A person who has not consented, and who is not an authorized staff member, should not receive BelleMed SMS messages.
Phone2 Service Communication
BelleMed uses the Phone2 service for work-related calls and messages with contracted healthcare providers and with authorized internal staff. Phone2 is not used to place unrelated marketing calls.
An example of a client message or call is:
“Hello, this is BelleMed. We finished the claim follow-up batch your office sent yesterday and can review any items that still need attention.”
An example of an internal staff message is:
“The revised billing handoff notes are in the shared folder. Please read them before the next BelleMed team meeting.”
Initial Contact
BelleMed does not start a relationship with a healthcare organization through unsolicited marketing blasts. If someone submits the consultation form, that person is asking BelleMed to respond.
The form is at https://bellemed.co/company/contact.
An example of that first telephone response is:
“Hello, this is BelleMed. Thank you for requesting a consultation on our website. How can we help your organization?”
At the inquiry stage, BelleMed's usual follow-up is by telephone or email using the details the organization submitted. SMS and Phone2 are reserved for the uses described in this policy, including communication after a client relationship exists and internal staff communication.
Client Communication
After a healthcare organization has an established client relationship with BelleMed, we may communicate about the work in progress by telephone, email, SMS, and Phone2. Those messages stay connected to the engagement.
Topics may include:
- Billing updates
- Revenue cycle management updates
- Support requests and the status of a request the client already made
- Scheduling or coordination needed to perform the agreed services
An example SMS to a contracted client is:
“Hello, this is BelleMed. We completed the documentation question your office raised yesterday. Your specialist can review the updated notes with you. — BelleMed”
A client can opt out of BelleMed SMS messages by replying STOP.
Consent and Opt-Out Options
BelleMed obtains consent before sending SMS messages to a client contact. Consent may be verbal or digital, as described below. Consent for a consultation request is not the same thing as consent to receive ongoing text messages.
An example of a work-related text sent after consent is:
“Hello, this is BelleMed. Your monthly billing summary has been updated and is ready to review with your specialist. — BelleMed”
The recipient may opt out at any time by replying STOP.
An example confirmation after that reply is:
“You have opted out of SMS messages from BelleMed. You will not receive further texts unless you opt in again.”
Opt-In & Opt-Out Methods
A recipient can opt in verbally or through a digital form that presents the SMS disclosure. A recipient can opt out by replying STOP, and can request help by replying HELP or by contacting BelleMed. Message frequency varies with the work underway. Message and data rates may apply according to the recipient's mobile plan.
Verbal Consent
When consent is collected by phone, the BelleMed representative identifies BelleMed, explains that messages will be work-related, and explains how often messages may be sent. The representative also explains that the recipient may:
- Reply STOP to unsubscribe from SMS messages
- Reply HELP for assistance
For help, the recipient may use the contact page, call 832-737-0211, or email connect@bellemed.co.
Digital Consent
When BelleMed collects SMS consent on a form, the form presents a disclosure in substance like this: by providing a phone number and submitting the form, the person consents to receive text messages from BelleMed if the organization becomes a contracted client. Message frequency may vary. Message and data rates may apply. The person may reply HELP for assistance or STOP to opt out.
The consultation forms currently on this website ask for permission to contact the organization about the request. They do not, by themselves, present that SMS disclosure or record a separate SMS opt-in. BelleMed does not treat submission of the consultation form as consent to a text-message program.
HIPAA Compliance and Data Protection
Some BelleMed services involve information that a client organization maintains about patients, providers, or billing. When that information is protected health information under HIPAA, BelleMed handles it as PHI for the client and under the written agreement that applies to the engagement, including a business associate agreement when HIPAA requires one.
The safeguards that apply to that information include:
- Administrative safeguards, including policies that limit who may use PHI and for which engagement
- Technical safeguards intended to protect systems that store or transmit healthcare data
- Access controls that restrict PHI to workforce members and vendors who need it for the assigned work
- Encryption for relevant communications and stored information where the engagement and the system support it
- Written agreements with vendors that create, receive, maintain, or transmit PHI on BelleMed's behalf, including business associate agreements when those agreements are required
- Security reviews and audits appropriate to the services BelleMed is performing
- Workforce training on HIPAA obligations that apply to the work
- Protection of client and patient information against uses that are outside the engagement
BelleMed does not sell, rent, or trade personal contact information. This policy is not a representation that BelleMed holds a particular HIPAA certification, and it does not replace the business associate agreement or services agreement that governs a specific engagement.
Information We Collect
Depending on how a person interacts with BelleMed, we may collect:
- Name
- Email address
- Phone number

- Job title, when it is provided
- IP address and similar technical identifiers recorded by the website host
- Website usage data, such as pages visited and referring pages
- General geographic location derived from a technical identifier, not a precise home address
- Information the client organization provides so BelleMed can perform credentialing, billing, virtual support, documentation, or web work
Please do not send patient records, government identifiers, portal passwords, or other sensitive files through the public consultation form. Those materials belong in the channel agreed for the engagement.

- Respond to a consultation or other inquiry
- Communicate with clients and authorized staff about the work

Information that does not identify a person or organization may be used to understand how the Sites are used and to improve them.
Information Sharing
BelleMed may disclose information to:

- Authorities, advisors, or other parties when disclosure is required by law, regulation, or legal process
- A successor organization if BelleMed is involved in a merger, acquisition, or similar transaction, subject to the agreements and laws that apply

Data Security and Retention
BelleMed uses administrative, technical, and physical measures appropriate to the information involved, which may include access limits, encrypted connections, and systems that store website and inquiry data. No method of transmission or storage is perfectly secure.
BelleMed keeps information for as long as needed to complete the service, meet a contract, resolve a dispute, or satisfy a legal retention duty, and then deletes or de-identifies it according to the schedule that applies to that information.
Children's Privacy
The Sites are written for healthcare organizations and adults who act for them. They are intended for people 18 years of age or older.
BelleMed does not knowingly collect personal information from children under 13 through the Sites, consistent with the Children's Online Privacy Protection Act (COPPA). If you believe a child under 13 submitted personal information through the Sites, contact us and we will take reasonable steps to delete it.
International Data Use
BelleMed serves healthcare organizations in the United States. Information collected through the Sites is processed in the United States. A service provider that supports the Sites or a client engagement may process information in another location when that is necessary to provide the service and is permitted by the agreement and applicable law.
Visitors who use the Sites from outside the United States understand that their information will be processed in the United States, which may have different privacy rules than their location.
Privacy Policy Updates
BelleMed may update this policy when its services, communication practices, or legal duties change. The revised policy will be posted on this page:
https://bellemed.co/legal/privacy
The effective date at the top of the page will change when the policy changes. Continuing to use the Sites after the updated policy is posted means you accept the updated policy. An engagement already under contract remains governed by that contract and any required notice terms in it.
